When to Use Base Intergy 

  • To post charges, payments, and adjustments 

  • To open and close journal entries 

  • To run exciting AR reports 

How to Open a Journal

1. Log in to Base Intergy 

2. Click on the Financial Tab 

3. Click on Journal Management 

4. Click on New 

5. Click on the Journal dropdown and select your name or PDEC Reception 

6. Select Date 

7. Select Save

Please note: 

  • You MUST have a journal open to post 

  • When you go to journal management, you can double click at any time to see all activity 

  • Closing journals are SOFT, which means they can be modified 

  • A daily close is HARD, which means it cannot be modified

How to Look at and Review a Journal 

1. Log in to Base Intergy 

2. Click on the Financial Tab 

3. Click on Journal Management 

4. Double-click the journal you want to review

How to Close a Journal 

1. Log in to Base Intergy 

2. Click on the Financial Tab 

3. Click on Journal Management 

4. Select the journal you want to review 

5. Click Trial Close 

6. Leave report on default settings and select the Run button 

7. Leave on View and select Run button 

8. Print this journal for Julie to review 

9. Close report 

10. Select journal 

11. Click the Close Journal button and follow prompts

How to Reopen a Journal 

1. Log in to Intergy Practice Administration 

2. Select Tools 

3. Select Reopen Journals 

4. Click on Journal 

5. Click the Reopen button

How to Post a Charge 

1. Log in to Base Intergy 

2. Click on the Financial Tab 

3. Click on Charges

4. Click on Charge Posting 

5. Select the patient 

6. Select the Encounter (visit) to link 

7. Make sure the provider is accurate 

8. Verify POS

9. Enter procedure/CPT code 

10. Enter any modifiers necessary 

11. Enter the correct diagnosis code 

12. Click Add 

13. Click Post Charges

Please note: 

  • Ailment = extra information like hospital admit date or corrected claim

How to Allocate (post) a Patient Payment 

1. Log in to Base Intergy 

2. Click on the financial tab at the top 

3. Select Payments from the dropdown 

4. Select Account 

5. Find the patient 

6. Select the accurate journal you want to use and double click 

7. You can click the magnifying glass to edit the patient 

8. In the allocate dropdown you can select the following allocations: 

  • Payment 

  • Pre-collected payment 

  • Unapplied credit 

  • Adjustment

9. Click on the Payment Button 

10. Enter details (amount, method etc.) 

11. Click Process/Save 

12. Click on the box in the Allocate column that you want to allocate the payment to 

13. Enter the amount 

14. Click the Post button when you are ready to post-payment

How to Post an Insurance Payment 

1. Log in to Base Intergy 

2. Click on the financial tab at the top 

3. Select Payments from the dropdown 

4. Select Insurance

5. Select the accurate journal you want to use and double click 

6. You can search claims by the patient or claim # (see bubbles in the top left) 

7. Once you find the DOS you are looking to post, you can click on each line item and make edits in the bottom left: 

  • Approved

  • Writedown

  • Withholding

  • Deduct

  • Copay 

  • Coinsurance

8. Select an action 

  • Bill next  

  • Guarantor 

  • Forwarded 

  • Rebill

  • Settle 

  • No action 

9. Click on Post button to complete the payment posting

How to Look Up Charges On A Patient Account 

1. Log in to Base Intergy 

2. Click on the blue man icon to look the patient up 

3. Click on Financial from the left column 

4. There are tabs to look at the following: 

  • Summary - Shows patient balance by past due days at the box at the bottom 

  • Charges - Look at the checkboxes to the right. Check include satisfied if you want to see previous charges etc. 

  • Credits - Shows all payments made on the account. Check include historical to see previous payments etc. 

  • Claims - Shows claims submitted and the balance. 

  • Statements - Shows previous statements AND allows you to create a DEMAND STATEMENT. 

  • Collections - Shows amount in collections

Favorite Financial Reports 

1. Log in to Base Intergy 

2. Select Reports tab 

3. Click on Select 

  • Daily Financial Summary Report 

  • Detail Aging Report 

  • Insurance Productivity Report

  • Insurance Plan Receipts Report 

  • Open Item Report (shows any balances) 

  • Summary Aging Report
